Start with a bounded task

A useful first assignment has a clear input, an observable result and a human reviewer. Turning your own meeting notes into a draft action list is easier to evaluate than asking an assistant to determine a business strategy. You already possess the source material, can spot omissions and can compare the draft against what was actually said.

Describe the audience, desired format and limits in the request. Ask for uncertainty to be surfaced rather than hidden. For example, request a draft that separates explicit decisions from suggested follow-ups. That does not guarantee compliance, but it creates a clearer review task than an open-ended instruction to “make this better.”

What each shortlist entry is for

ChatGPT is a reasonable first candidate for a varied mix of drafting, explanation and conversational problem-solving. Its available models and tools depend on the offering you use. Our recommendation concerns its broad product role, not a claim that it produces the most accurate answer. If your workflow depends on a particular file tool or capability, verify access in the actual account you intend to use.

Claude is a candidate for a document-centered pilot involving rewriting, summarizing and discussion of supplied material. Test it with your own representative documents rather than assuming that a capacity claim means every detail will receive equal attention. A long accepted input and a complete, faithful analysis are different things. Check quoted passages, exceptions and numerical statements against the original.

Gemini deserves consideration when your decision is shaped by Google's services and the integrations available to your account. An integration can reduce copying, but it also changes what information a tool can reach. Personal, education and organizational accounts may have different capabilities and terms. Ask an administrator about permissions rather than relying on a consumer feature description.

These tools overlap substantially. The list is deliberately not a permanent first-to-third intelligence ranking. Models, plans and product interfaces change, and an assistant that feels strong in one writing task may be a poor fit for a structured workflow. Use the same small assignment across candidates before forming a preference.

Free access is an evaluation lane

A free tier can be enough for occasional drafting, but availability is not a service guarantee. Message allowances, file handling, advanced tools and model access may be limited or variable. If a tool becomes essential to a deadline, examine what happens when an allowance is reached. A paid plan can change access conditions without removing the need for review.

Calculate the full work cost: preparing input, waiting, checking, correcting and moving results into the real system. A fast answer that needs extensive repair is not necessarily a productivity improvement. Keep a simple record of errors and revision effort during your pilot; do not confuse an engaging conversation with completed work.

Protect information before optimizing prompts

Do not upload confidential client files, credentials, personal records or unpublished business information simply because an interface accepts them. Review the relevant data terms, retention controls and contractual obligations. Consumer and business offerings can differ. Redaction helps only if it actually removes identifying or sensitive information rather than merely changing a name.

Connected tools create another boundary. Read the requested permissions and consider the effect of granting access to mail, storage or calendars. Text found inside a retrieved document can contain misleading instructions. Keep consequential actions under human control, and do not assume that a connected assistant should automatically act on everything it reads.

Verify claims outside the conversation

Check citations by opening the source and locating the actual supporting passage. Verify calculations independently. Review code before execution and test it in an appropriate environment. For legal, medical, financial or security-sensitive decisions, fluent prose is not a substitute for qualified advice or a proper review process.

The practical winner is the assistant that reduces your total effort within acceptable information boundaries. If no candidate does that, the correct recommendation is to skip the subscription. A template, a checklist or a better task system may solve the underlying problem with less uncertainty.

Primary sources and limitations

Consult ChatGPT pricing, Anthropic pricing and Gemini for current offerings. Read the terms for your specific account. This guide reports product roles and editorial judgments; it does not claim hands-on benchmarks or an audit of provider data practices.

Should AI write the final answer for a client?

It can help prepare a draft when your obligations allow it. You remain responsible for accuracy, confidentiality, permissions and any disclosure your client requires.
