A shortlist ordered by everyday usefulness

Our first recommendation is LibreOffice for an independent professional whose documents are mostly created and finished locally. Writer, Calc and Impress cover familiar office jobs without requiring a recurring software subscription. The important qualification is interchange: a document opening successfully is not the same as a document retaining every layout detail, formula or macro.

Before replacing Microsoft Office, collect a few demanding files from your actual work. Include a long report, a spreadsheet with formulas and a presentation with custom fonts. Open them, edit them, export them and ask a recipient to inspect the result. If your livelihood depends on exact Microsoft-specific behavior, compatibility work can outweigh the saving.

Second is Bitwarden, a password manager with a free core offering and optional paid features. A password vault is useful because it supports unique credentials without relying on memory. That does not make the surrounding account invulnerable. Protect the main account, understand recovery options, enable appropriate multifactor authentication and keep recovery information somewhere you can access independently.

Skip a personal-only setup when your organization needs centralized access policies, provisioning or auditable administration. Team requirements are not an afterthought to solve by sharing one master password. Compare the relevant organizational plans instead, and check which functions are included before moving a business's credentials.

Notes and media: useful specialists

Joplin is our third pick for readers who value a local-first note library and are willing to choose a synchronization arrangement. The application is free and open source; Joplin Cloud is a separate optional service. Other sync targets can introduce their own setup, storage and maintenance considerations. “Free app” does not mean every convenient hosting option is free.

Its appeal is less about a polished team dashboard and more about keeping a durable collection of notes. Try importing an existing notebook, attaching a file, searching it and exporting it again. If end-to-end encryption is part of your plan, read the setup instructions and verify that every device has completed synchronization before trusting the workflow.

VLC belongs on the supporting list rather than competing with office suites. It is a free, open-source media player useful for many local audio and video files. It is not a promise that every protected streaming service or proprietary format will work. Download from the official project, avoid repackaged installers and remember that any application handling untrusted files should be kept current.

The real cost of a free tier

Separate three models. A fully free desktop application may place responsibility for updates and backups on you. A freemium service may reserve collaboration, history or administration for paying customers. A free trial is temporary access to a paid product. These models have very different long-term costs, even when each begins without a payment.

Licensing also matters. Open source describes rights under a license, not a general exemption from conditions. Check the applicable license if you redistribute software, bundle it into a product or alter it for others. For hosted tools, read service terms as well as the software license: they govern different relationships.

A small pilot beats a large migration

Use a reversible trial. Install one tool from its official source, use a copy of representative work and record what fails. Check keyboard access, file locations, export formats and how updates arrive. A short pilot should end with an explicit decision: keep it, limit it to a narrow role or decline it. Accumulating several half-adopted alternatives creates its own maintenance bill.

Back up data independently of synchronization. Sync can propagate accidental deletion just as efficiently as a useful edit. For important notes and documents, keep a separate recoverable copy and practice restoring it. A tool earns a place when its normal operation and its failure mode are both understandable.

These recommendations are editorial assessments based on documented product roles, not laboratory results. We do not certify security, promise compatibility or treat a low price as evidence of quality. If shared editing or structured projects dominate your day, the work-app comparison is a better next stop than installing another desktop utility.

Check the primary sources

Verify downloads, licensing and current plan boundaries with LibreOffice, Bitwarden pricing, Joplin and VideoLAN's VLC page. Vendor pages document their offerings; they are not independent endorsements.

Who should skip this shortlist?

Teams needing contractual support, centralized device management or strict application certification should start with those requirements. An otherwise capable free tool can be the wrong operational choice.
